Fair Use Policy

Nextforms gives you unlimited forms and unlimited responses, free. We can offer that because the overwhelming majority of businesses — even busy ones — use a tiny fraction of what “unlimited” could theoretically mean. This page explains, in plain language, where the edges are.

The short version

If you’re using Nextforms to run forms and workflows for your business, club, school, or project — even a big one — you will never hear from us about limits. Fair use exists to stop abuse, not to catch successful customers.

What’s always fine

  • High-traffic forms with thousands of responses
  • Seasonal spikes (event registrations, application deadlines)
  • Many forms, many workflows, many team members
  • Heavy use of integrations you’ve connected (your Gmail, your Sheets — your quota, your rules)

What isn’t fair use

  • Using forms or workflow emails to send spam, or messaging people who never asked to hear from you
  • Reselling Nextforms accounts or capacity to third parties
  • Machine-generated submission traffic (load testing, scraping relays, automated bots)
  • Using file uploads as general-purpose file hosting unrelated to form responses
  • Anything that threatens the stability of the platform or the email deliverability that every other customer depends on

What happens at the edge

If your usage looks like one of the cases above, our first move is almost always to email you and talk about it. Genuine misunderstandings get resolved as misunderstandings. Where something is actively harming other customers — a spam run through the built-in email sender, for example — automated safeguards may throttle or pause the specific activity first, and we’ll contact you right after. Account suspension is a last resort for clear, continued abuse.
