Microsoft Teams

A Microsoft Teams step posts a card to a Teams channel for each response. It’s available on every plan.

Teams connects one channel at a time, with a Workflows link from Teams. That needs a Microsoft 365 work or school account: personal Teams accounts can’t create Workflows.

  1. In Teams, hover over the channel, click ⋯ and choose Workflows.
  2. Pick the template that posts to the channel when a webhook request is received (currently Send webhook alerts to a channel) and finish it.
  3. Copy the URL it gives you.
  4. In Nextforms, go to Integrations, pick Microsoft Teams, paste it as the Workflow URL, and click Test connection. A test card appears in the channel.
  5. Give it a Label, like “Sales channel”. It’s the name the connection goes by when you pick it in a step, so you can tell your channels apart.

Nextforms only accepts Microsoft’s own Workflows addresses (they end in logic.azure.com or a Power Automate domain). The older “Incoming webhook” connector isn’t supported: Microsoft is retiring it.

For another channel, add another connection the same way.

In a workflow, add a Microsoft Teams step and fill in:

  • Teams channel: the connection.
  • Heading: optional, shown in bold at the top of the card.
  • Message: your text, with answers and variables in it. All answers inserts every answered question.

Answers are shown exactly as typed: they can’t become formatting or links. The Response link variable shows as a clickable “#12” that opens the response in Nextforms, for your team. Uploaded files show their names.

The run shows the reason. The common ones:

  • The flow was deleted or turned off in Teams: Microsoft refuses the post. Create the Workflow again and paste the new URL into the connection.
  • Microsoft refused the saved link: the connection is paused and runs wait. Update it under Integrations, then retry.
  • Teams didn’t answer in time: Nextforms retries by itself.

After fixing it, retry the step from the run. See Runs and fixing failures.
