Team and plans
Everything in Nextforms belongs to a team: forms, responses, workflows, connections and the plan. You get a team when you sign up, and you can be a member of several.
Your team
Section titled “Your team”Settings → Team shows who’s in the team and what they can do:
- Team name: rename it (Owner or Admin). It saves when you press Enter or click away.
- Time zone: used for submission times in exports and workflow messages. Defaults to UTC.
- Switch team: every other team you belong to, with a Switch button. Upgrading, inviting and everything else apply to the team you’re in.
- Members and Pending invitations.
Invite teammates
Section titled “Invite teammates”Click Invite, enter their Email and pick a Role, then Send invite. They accept with an account on that email address. An invitation expires after 7 days; Resend sends a new link (the old one stops working) and restarts the 7 days.
Inviting teammates is a Pro feature. On Free, the Invite button opens the upgrade.
| Role | Can |
|---|---|
| Owner | Everything, including billing. |
| Admin | Everything an Editor can do, plus invite teammates, permanently delete forms and empty the Trash. |
| Editor | Build and publish forms and workflows, manage integrations and connected apps, view and delete responses. Deleting a form moves it to the Trash. |
| Viewer | See forms and their responses. Cannot change anything. |
An Admin can invite Editors and Viewers; only an Owner can make someone an Admin or an Owner. A team can have several Owners. To hand a team on, pick Owner as someone’s role; after that, either of you can change the other’s role or leave.
Remove someone
Section titled “Remove someone”Click Remove on their row. They lose access to the team straight away. If they connected Zapier or Make with their own account, those connections end with them: someone still in the team connects their own account and switches those triggers on again (see Zapier and Make).
Leave a team
Section titled “Leave a team”Leave on your own row takes you out of the team and its forms. The only Owner of a team can’t leave while other members remain: make someone else an Owner first.
When the last member leaves, the team is deleted with its forms, responses and uploaded files. That’s refused while the team still pays for Pro: cancel the plan under Settings → Billing first.
Responses are unlimited on both plans, within fair use.

Pro is $29 a month, or $25 a month billed yearly.
Upgrade and billing
Section titled “Upgrade and billing”Billing is for the team’s Owner. Settings → Billing shows the current plan:
- Upgrade to Pro opens checkout for the team you’re in, monthly or yearly.
- Manage billing opens Stripe, where you change the payment method, see invoices or cancel.
When you cancel, Pro stays until the end of the period you paid for (Cancels on …), then the team moves to Free. If a payment fails, Pro continues while Stripe retries the card; if it can’t be collected, the team moves to Free, and Pro comes back once it’s paid.
Moving to Free
Section titled “Moving to Free”Nothing you’ve built stops working:
- Published approval workflows keep running. You can’t publish new ones.
- Existing teammates stay. You can’t invite more.
- Workflows keep sending to the recipients they had. Recipient rules apply again the next time you publish.
Delete your account
Section titled “Delete your account”Settings → Advanced → Delete account deletes your account and every team where you’re the only member. Teams you share stay. Deleting doesn’t cancel a paid plan: cancel it under Billing first.
