Notion
A Notion step writes each response as a page in a Notion database: one page per response, one property per answer. It’s available on every plan.
Connect Notion
Section titled “Connect Notion”Go to Integrations, pick Notion, and sign in. Notion then asks which pages and databases Nextforms may use. Nextforms only ever sees what you tick here.
- To write to a database you already have, tick that database.
- To let Nextforms create databases, tick a page too. A new database always goes inside a page you shared.
You can share more later: in Notion, open the page or database, click ••• in the top-right corner, choose Connections, and add Nextforms.
One connection per Notion workspace is enough for every form on your team.
Add the step
Section titled “Add the step”In a workflow, add a Notion step and pick the connection. Then choose the database:
- Create a new database: name it and pick the page it goes in. It gets a property for each question, with the right type, and the step is mapped to them.
- Choose existing: pick a shared database. Questions are matched to properties with the same name.
Map answers to properties
Section titled “Map answers to properties”Each row sends a value to one property of the database. The value can be an answer, a variable (like the response link or number), or text around them.
- A property is remembered by Notion’s own id, so renaming or moving it in Notion is fine.
- Not in Notion yet. Create appears on a row whose property doesn’t exist. Create opens a dialog with the name and type; nothing changes in Notion until you confirm it.
- Add N missing questions adds a row for every question the step doesn’t send yet. Rows find their property by name.
Nextforms only changes your database when you create it or click Create. Runs never add or change properties.
How answers are written
Section titled “How answers are written”| Question | Notion property |
|---|---|
| Text Input, Address | Text |
| Email, Phone, Website | Email, Phone, URL |
| Number, Rating, Calculated | Number |
| Date | Date, with the time when the question asks for one |
| Yes/No | Checkbox |
| Multiple Choice | Select, or Multi-select when several answers can be picked |
| Country | Select, with the country’s English name |
| File Upload | Files |
Any property can take text. Times are read in your team’s time zone, set under Settings → Team.
Uploaded files
Section titled “Uploaded files”Files from an upload question are uploaded to Notion and attached to the page, so they open from Notion itself.
Notion limits the size of each file: 5 MB on a free Notion workspace, much larger on paid ones. A file Notion refuses is left off; the page is still written, and the run shows Left off with the file’s name and the reason.
When a response is edited
Section titled “When a response is edited”A response sent back for changes runs the workflow again. The step can:
- Update its page (the default): the page written for the earlier version gets the new answers. Only the mapped properties change, so anything your team added by hand stays.
- Add a new page: every version gets its own page.
If the earlier page was deleted or moved to another database, a new page is written.
Show the form inside Notion
Section titled “Show the form inside Notion”Respondents can fill in the form without leaving Notion:
- In a Notion page, type
/embed. - Paste the form’s link with
?embed=1added, for examplehttps://forms.nextforms.com/abc123?embed=1. That shows the form without its page background, so it blends into the page. - Drag the bottom edge of the embed to fit the form.
When a run fails
Section titled “When a run fails”The run shows the reason. The common ones:
- The database isn’t shared with the connection: share it again (••• → Connections).
- A mapped property was deleted in Notion: open the step and pick another property, or create it again.
- A value doesn’t fit the property, such as text in a Number property: change the property type or map another answer.
After fixing it, retry the step from the run. See Runs and fixing failures.
